Client Relations Specialist (Finance)



Responsible for performing higher level client and office support to Medicine Creek Analytics, a scientific testing lab. This position involves multi-tasking, good organizational skills, attention to detail in a fast-paced technical environment.

ESSENTIAL DUTIES AND AREAS OF RESPONSIBILITIES
· Provides excellent customer service by promptly greeting visitors, intaking samples, completing paperwork in a professional manner.
· Answers incoming calls using proper phone etiquette, answers basic client questions, gathers information, takes messages and transfers calls/communicates to appropriate staff.
· Monitors lab administrative email account and responds to client inquiries and incoming information related to orders in timely fashion. Communicate with clients and fellow staff in clear grammatically correct English.
· Perform all logging in and labelling of lab samples through the Laboratory Information Management System (LIMS) software system.
· Prepares and uploads files for the state-required CCRS reporting website to maintain legal reporting requirements for the lab.
· Operates standard office machinery such as phones, computers, copiers, label printers, etc. Maintain the paper supply in the copier, change toner and place calls for service as needed.
· Creates invoices based on customer orders and maintains balance log through the LIMS and in partnership with accounting department.
· May work with a variety of highly confidential information and, as a result, be able to handle this information professionally and maintain strict confidentiality at all times.
· Coordinates the scheduling of meetings. May be required to take meeting minutes and type them up after the meeting.
· Orders and maintains office supplies.
· Maintains and files (both hard copy and electronically) all forms and appropriate documentation necessary to the operation of the Laboratory.
· Supports and aids the labs marketing efforts by posting social media content, performing sales calls, mass emailing, sending out flyers, and disseminating promotional materials.
· Provides on-going support to laboratory staff.
· Performs other duties as assigned, this includes new tasks as they arise.

QUALIFICATIONS
· Bachelor's degree in business administration, or a related field is preferred.
· Minimum of 2 years of experience in reception, clerical, or administrative support work in an office setting is required.
· Must have computer skills in Excel, Word, Power Point, Outlook, and other relevant software.
· Ability to meet customers and clients and establish impactful relationships.

Strong organizational and communication skills.

· Ability to work in a fast-paced office setting and multitask to meet the daily demands of the job.

Language Skills
Ability to read and interpret technical documents such as SOP's, employee handbook, safety rules, and procedure manuals. Ability to communicate clearly and concisely in English in- person or via written correspondence.

OTHER REQUIREMENTS
· Must be at least 21 years of age.
· Must be able to work in person to support the operations of the lab which are from 8AM-5PM.

EDUCATION
High School diploma or G.E.D required.
Bachelor's degree in business administration, or a related field is preferred.

· Work is performed in an office setting and a laboratory environment and may require use of personal protection equipment to limit exposure to chemicals or other hazards found within a laboratory environment such as gloves, lab coat, safety glasses.
· There are frequent contacts and interruptions during the day.
