P2P Outreach & Departmental Training Coordinator (Finance)



Job Summary:

Responsible for leading outreach efforts to engage with potential partners and stakeholders, as well as coordinating training programs internal and external to the department. Develops and implements strategies to increase collaboration and communication with external suppliers and internal university clients, while also designing and delivering training sessions to enhance the skills and knowledge of departmental staff. Works closely with team members to identify training needs, develop curriculum, and evaluate the effectiveness of training programs. Manages relationships with external partners and ensures alignment with departmental goals and objectives. Supports procurement excellence through development and maintenance of electronic documentation and communication platforms.Minimum Qualifications:

Bachelor's degree -OR- equivalent combination of education and related experience. 2+ years of related experience

  • Manage communication distribution software and lists
  • Collect, consolidate and draft for distribution departmental communications such as policy and procedure updates.
  • Lead communication plans for large scale changes and implementations
  • Draft monthly PPS newsletter
  • Create marketing materials as needed for the department for events, announcement of new contracts, etc.
  • Consolidate and redesign webpages for Procurement & Payment Services and continually make website updates as needed.
  • Support PPS outreach to departments by providing marketing materials and soliciting feedback on vendors/contract satisfaction
  • Creation of end user training for all procurement relate systems using RISE360 or other software
  • Maintenance and updates of training and job aids/procurement manuals
  • Author a comprehensive start to finish procurement handbook
  • Work with HR and FAST security to update training requirements based on role level access.
  • Organize and conduct monthly help desk sessions
  • Author, distribute and follow up on end user feedback and satisfaction surveys
  • Act as a primary liaison between PPS and BFSS to support training and collaboration.
  • Creation of internal training based on job role and maintain accuracy through regular updates
  • Organize training materials into easy to access format on SharePoint
  • Cleanup of digital records from server files and conversion of on-prem documents to cloud based storage (SharePoint)
  • Maintain current templates of job aids, manuals, onboarding guides, website information, policies etc.
  • Act as a point of contact for receiving and responding to public record requests (partner)
  • Backup administrative tasks such as record disposal requests, off-site property, etc.
  • Support, plan and execute annual events
  • Attend other on campus and off campus events as needed to raise the profile of PPS services
  • Support planning of large meetings between USF units - EPC meetings, Procurement Council
  • Performs other duties as assigned.
