Administrative Assistant to the Dean – Mercy College of Health Professions (CHP) (Administrative)



Summary / Objective
Provides administrative support to the office of the Dean and academic leaders of the Mercy College of Health Professions. Coordinates events, communicates college updates, announcements, meeting agendas, and event details to faculty and staff in collaboration with the Dean.
Position Type & Schedule
This is a part-time, 29-hour per week on-site position. The work schedule is flexible within standard office hours Monday through Friday, allowing for some customization of hours in coordination with the Dean.
Essential Job Duties
Administrative SupportSchedule appointments, meetings, and events for the college leadership.Prepare for review and submit course schedules.Prepare and distribute agenda and minutes for college meetings.Track and manage forms requiring the Deans signature.Input and update data in the Universitys information systems.Maintain faculty filesCoordinate university provost office tasks for college leadership.Administrative support for college leadership.Communication & CoordinationCoordinate CHP communications under the direction of the Dean, including digital signage, portal updates, newsletters, and social media.Collect and compile data for reports and assist with faculty load forms, schedules, syllabi, etc.Collaborate with division heads on CHP deadlines and processes.Updateadvisee lists for faculty under the direction of division heads.Faculty & HR SupportAssist with hiring and onboarding.Ensure compliance with university requirements for office hours, syllabi, load forms, and HR documentation for full-time, part-time, and adjunct faculty.Event ManagementPlan and coordinate CHP ceremonies, events, celebrations, and engagement activities.Additional ResponsibilitiesPerform duties as assigned by the supervisor.Maintain regular attendance and punctuality.Exhibit and model a Christian lifestyle consistent with university values.Commit to and uphold Southwest Baptist Universitys Principles and Expectations.Serve on SBU and CHP committees as assigned.

Position Requirements
High School Diploma or GED equivalent; 2 year Degree (Associate's) Computer skills, including use of Windows, computer applications, word processing, spreadsheets, database. Communicates effectively using written and oral forms with individuals who have a broad range of educational backgrounds
Work Environment
Must be able to work in a typical office. Travel to other campuses required (Bolivar).
Physical Abilities
Occasionally move about the office to access file cabinets, office machinery, etc. Frequently communicates with students who have inquiries about their required documents and application status. Must be able to exchange accurate information in these situation. Occasionally ascends/descends a step stool. Constantly operates a computer and other office productivity machinery, such as calculator, copy machine and computer printer. Must be able to remain in a stationary position up to 50% of the time.
