Senior Administrative Assistant (EARN) (Project Management)

POSITION SUMMARY:

The Senior Administrative Assistant provides high-level administrative support for the City EARN program by conducting research, preparing program outcome reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position is located at 304 Wood Street, Pittsburgh PA 15222 and will work directly with and support the external team administering EARN and other various workforce programming services on behalf of the City of Pittsburgh. This role will collaborate with other agency team members associated with the City contract, as well as frequently communicate and receive functional supervision from the external City team onsite
to provide quality service delivery that meets the standards set by City administration.

Duties will also include but are not limited to:

  • Prepare correspondence, memos, presentations, invoices, financial and expense reports, and other documents using word processing, spreadsheet, database, presentation and other related business productivity software.
  • Perform general office duties, such as making copies, ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • Maintain calendars, coordinate meeting arrangements including teleconferences and videoconferences, and catering for executives or coordinate the same for multiple work units/departments, or to support the organization overall.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material
  • Communicate confidential information according to law, policy, and industry best practices.
  • Organize and maintain paper/electronic filing systems and/or databases, including corporate documents and confidential personnel files and retrieve such documents and reports as needed.

External Hiring Range: $17.44/hour

Travel Required: No 

Schedule: Monday through Friday. Schedule can vary depending on department needs. 

QUALIFICATIONS:

  • High School Diploma or Equivalent AND 2 years' experience providing clerical/administrative support and/or data entry required. OR
  • Associates Degree AND 1 years' experience providing clerical/administrative support and/or data entry required. OR
  • Bachelors Degree AND no prior experience required. 

REQUIRED CLEARANCES, LICENSES, AND CERTIFICATIONS:

  • Candidates are expected to provide current valid clearances (Child Abuse Clearance, FBI Fingerprints Clearance, and PATCH) prior to first day of employment.
