Program Manager 2 - Faculty Services (Finance)

Description:

INTERNAL UH STAFF POSTING - INTERNAL CANDIDATES ONLY

Manages the day-to-day operations of a large university program or department, including the supervision of staff employees, student workers, programs or processes.

1. Plans and develops procedures for administering a large or complex department or program.
2. Manages fiscal activities, including procurement and budget analysis.
3. Provides guidance to subordinate staff and evaluates performance.
4. Prepares abstracts, research reports, funding proposals, operations and procedure manuals, and other written material and documentation.
5. Creates and reviews reports of expenditures and activities.
6. May administer grants and grant-related related communications, scholarships and other operations.
7. Develops, implements and maintains appropriate policies and procedures.
8. May serve as property custodian for the department.
9. Performs other job-related duties as assigned.

Additional Job Information
• Program Operations & Coordination
o Oversees day-to-day operations for Faculty Services, ensuring faculty have the support and resources necessary for teaching and research.
o Coordinates with the Associate Dean for Academic Affairs and Program Director 2 on course scheduling logistics, classroom assignments, textbook adoptions, and technology support.
o Collects, organizes, and manages submission of course syllabi and other required academic documents.

• Faculty Support Oversight
o Coordinate the onboarding for new full-time and part-time faculty, including office setup, system access, orientation materials, and process navigation.
o Serves as liaison to faculty for administrative support needs related to course materials, exams, academic deadlines, and internal procedures.
o Oversees exam logistics in coordination with the Associate Dean for Academic Affairs and the Office of Student Affairs, including accommodation requests, submission tracking, and confidentiality protocols.

• Staff Supervision & Leadership
o Assist the Program Director 2 with overseeing administrative staff and student workers within the Faculty Services unit, including workload delegation, performance evaluation, and ongoing training.
o Ensures adequate coverage and resource allocation during peak academic periods (e.g., semester start-up, midterms, final exams).

• Event & Meeting Management
o Coordinates faculty meetings, workshops, retreats, and recognition events: manages logistics, supports agenda development, and tracks follow-up items.
o Provides operational support for faculty committee work, including document preparation and communications.

• Policy & Process Management
o Interprets and applies Law Center and University policies related to faculty operations and academic procedures.
o Develops and maintains process documentation and guides to improve service delivery, ensure compliance, and support consistency across terms.

• Budget & Resource Oversight
o Process and tracks Faculty Services expenses for travel, supplies, events, and faculty support resources.
o Prepares periodic reports on programmatic efficiency, resource usage, and service trends.

Experience will be considered in lieu of education. Education will be considered in lieu of experience.

MQ: Education: Requires a thorough understanding of both theoretical and practical aspects of an analytical, technical or professional discipline; or the basic knowledge of more than one professional discipline. Knowledge of the discipline is normally obtained through a formal, directly job-related 4 year degree from a college or university or an equivalent in-depth specialized training program that is directly related to the type of work being performed. Experience: Requires a minimum of one (1) year of directly job-related experience. Certification/Licensing: None.
