Operations Administrator (Altamont, UT) (Finance)



Position Description

Primary purpose:

  • Administrative Specialist for GPL - West - Division 3 Operations.

Essential duties and responsibilities:
  • Assist Area Manager and Area Supervisors in preparing, tracking, and managing the operational and capital budgets •Prepare invoices and enter into Lawson accounting system
  • Generate contracts, prepare general service agreements, work directives and request for services or materials
  • Time sheet review and entry into the HBS payroll system, maintain records including tracking of lost time, vacations and other employee records
  • Data entry for training records into the OQ ISNetworld program and tracking of company fleet vehicles
  • Actively participate in safety programs and initiatives
  • Maintain filing system for general office and DOT forms
  • Generate requisitions and do receiving in Lawson Procurement System
  • Reconcile and enter individual expense report coding into Lawson software
  • Inventory management including issuing, transferring, and auditing stock.
  • Answering phones
  • Other duties as assigned

*Job level commensurate with skills, knowledge and experience.

Position Requirements

Position Requirements:

Education:

  • High School Diploma
  • Associates/Bachelors Degree or equivalent (Preferred)

Experience / specific knowledge:
  • 3 to 5 years experience in office administration
  • Familiarity with budget development and cost tracking experience

Certifications, licenses, registrations:

  • Must hold a satisfactory driving record as determined by Kinder Morgan and a valid state driver's license.


Competencies, skills, and abilities:
  • Ability to demonstrate proficiency with Microsoft Office products (Excel, Word, Outlook, and PowerPoint) and other general computer skills
  • Strong verbal and written communications skills
  • Self starter, able to learn on an individual basis, keep required work schedules, focus attention on details, and follow work rules
  • Ability to effectively plan, organize, prioritize and complete work with a minimum of supervision
  • Work in a team environment, take direction from and provide support to multiple supervisors, function in a multi-task environment to meet deadlines

Physical Demands:

  • Extended period of sitting may be required for administrative activities

Working Conditions:
  • Effectively work outdoors while wearing the required Personal Protective Equipment (ex. Hardat, flame resistance clothing and safety-toed footwear for the location) when required.


Preferred education, experience, certifications, competencies, skills, and abilities:
  • Above the minimum requirements; not required but advantageous in this position: Bachelor's Degree in Business Related field preferred but not required.
