Director of Executive Office Administration (Administrative)

POSITION SUMMARY:

The Director of the Executive Office is a pivotal leadership role within the organization, offering direct support to the President and CEO while also managing the overall functions of the executive office. This individual will be the primary point of contact for both internal and external stakeholders concerning all matters related to the Office of the President. The role encompasses serving as a liaison to the board of directors and senior management teams,
orchestrating executive outreach, managing external relations efforts, and steering special projects with a high degree of autonomy and decision-making authority. This position requires an individual who thrives in a missiondriven, results-oriented environment and can independently make strategic decisions. The successful candidate will demonstrate superior judgment, exceptional communication skills, robust administrative capabilities, and the capacity to balance multiple priorities effectively. The Director of the Executive Office will drive initiatives from concept to completion and must adeptly manage a broad array of activities and confidential issues with tact and discretion.

Duties will also include but are not limited to:

  • Oversee the daily operations of the Executive Office, ensuring efficient and effective support for the President & CEO
  • Develop and implement office systems to manage the CEO's calendar, travel plans, sensitive correspondence, and workflows, enhancing productivity and facilitating the achievement of organizational goals
  • Independently generate high-quality documents, such as meeting minutes, reports, andvpresentations, with minimal oversight from the President & CEO.
  • Lead major projects and initiatives that impact the Executive Office, ensuring alignment with strategic goals
  • Coordinate board meetings, ensuring the preparation and distribution of materials, including agendas and meeting minutes
  • Serve as senior ambassador for the organization, fostering community relations and enhancing the public profile of Goodwill SWPA
  • Recruit, develop, and motivate a high-performing team, holding them accountable to performance expectations
  • Oversee high-level communications from the Executive Office, ensuring clarity in messaging and alignment with the President's vision
  • Facilitate access to the CEO's time and office, ensuring productive engagement outcomes.
  • Handle sensitive and confidential information with the utmost discretion and professionalism, ensuring the President & CEO's privacy and the organization's security

  • Ensure that the President & CEO and the Executive Office team have access to the appropriate technology and tools to support their work effectively.
  • Keep staff informed of all Goodwill initiatives, policy changes and updates and other general company information

Schedule: 8:30 AM - 4:30 PM Monday - Friday (Hours may vary depending on department needs.

Travel: This position requires occasional travel, and the individual must be willing to travel as needed, including to various locations for board meetings or events.

QUALIFICATIONS:

  • Bachelor's degree AND 4 years of experience with proven ability to exercise critical thinking, autonomy, and problem-solving in fast-paced, mission-driven environments
  • Master's degree AND 3 years of experience Proven ability to exercise critical thinking, autonomy, and problem-solving in fast-paced, mission-driven environments

External Hiring Range: $70,000 to 80,000/ year

Required Experience:

  • Minimum of 3-5 years of experience providing high-level executive or administrative support, with demonstrated expertise in project management and leadership

Preferred Experience: 

  • Familiarity with CRM systems or any specific software usedvin executive office management.

 REQUIRED CLEARANCES, LICENSES, AND CERTIFICATIONS:

  • Candidates are expected to provide current, valid clearances (Child Abuse Clearance, FBI Fingerprints Clearance, and PA PATCH)
