Administrative Assistant - Part-time (Administrative)

The Administrative Assistant will support daily office functions, assist with proposals and special projects, and play an integral part in keeping our team organized and efficient. Responsibilities:
Greet and assist visitors with a warm, professional presenceAnswer and direct incoming calls to the appropriate team membersManage outgoing mail, FedEx, and courier deliveriesMaintain cleanliness and organization of the front office and shared spaces, including pantryTrack and reorder office and pantry supplies, as neededCoordinate meetings and conference room setup, including catering ordersAssist with planning and setup for office events and internal activitiesLiaise with building management for maintenance or service issuesRun occasional errands (e.g., office supply pickup, print shop visits, other GPI offices)Assist with proposal preparation, review, coordination, tracking, and response strategies to ensure responses meet accuracy and deadlinesCollateral preparationMaintain data, including project past performance, resumes, references, and client databaseHelp format, proofread, print, or bind documents for meetings or proposalsAssist multiple departments with a variety of tasks and special projects as needed
Qualifications:
Associates or Bachelors degree preferred (or equivalent experience).Previous experience in administrative or office support roles.Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) with a strong eye for visually appealing layouts.Excellent interpersonal skills, writing skills, communication and presentation skills including the ability to effectively communicate cross-functionally with various levels of the organization.Excellent coordination skills, with ability to track multiple simultaneous projects, and handle pressure in a positive manner.Professional appearance and demeanor; Friendly, dependable, and service-oriented attitude.Own transportation required to handle occasional errands and requirements between Metro DC offices.
Work Schedule:
Part-time hours; Tuesday, Wednesday, ThursdayTotal weekly hours are negotiable
