Office Administrator (Finance)

Position Type: Part Time

Salary Range: $20.00 - $30.00 Hourly

Office Administrator (Part-Time)

Urban Engineers, Inc. is seeking a part-time Office Administrator to join our Erie office. This position will be responsible for assisting with day-to-day office administrative tasks.

Responsibilities

  • Assist Office Manager and Practice Leaders with administrative tasks.
  • Track & review invoices for projects, follow-up on Accounts Receivable as necessary
  • Track & process Accounts Payable
  • Generate and enter cash deposits.
  • Provide reports from accounting system as requested.
  • Review employee timesheets and expense reports for accuracy.
  • Assist with contract and budget setup, monitor budgets weekly
  • Handle incoming and outgoing office mail and packages.
  • Coordinate with vendors Order to order and maintain office supplies and equipment.
  • Assist with local hiring process by filtering resumes, organizing interviews and assisting with onboarding tasks
  • Liaison with IT Department to ensure employees and office have needed equipment
  • Answer, screen and forward incoming phone calls; Greet and welcome guests as they arrive to the office and direct to appropriate locations.
  • Track employee training and qualifications (certifications, expirations) and update resumes and internal and external systems.
  • Register employees for events and training; arrange travel and accommodations
  • Additional tasks - including remote support of Pittsburgh office as-needed.

Requirements :
  • High school diploma
  • 1-2 years' experience in administration
  • Organizational skills
  • Strong writing, proofreading, and editing skills preferred.
  • Strong working knowledge of MS Office Suite - primarily Word, Excel and PowerPoint.
  • Working knowledge of Adobe Creative Suite and Bluebeam.
  • Excellent interpersonal, communication, time management, and organization skills.
  • The ideal candidate would have Deltek experience.
