This position is based in our Irvine, California Corporate Headquarters with the opportunity to work up to two days remote per week.

Summary of the role:

The Sr. Leave of Absence Administrator role will focus heavily on Ingram Micro's leave program by ensuring plans are administered consistently with company policies and are in compliance with federal and state regulations, including but not limited to COBRA, HIPAA, FMLA, CFRA and PDL. This position will often work independently and will support/partner closely with the other corporate benefits team members. In this role, you will research inquiries from associates, managers and HR Business Partners regarding leaves of absence policy and procedures. Will also execute LOA processes and identify problems and solutions to ensure positive experiences. Partner closely with Third party leave administer and Payroll to ensure leaves are tracked and paid correctly. Ensure that forms are collected, recorded, and leaves are filed on time.

The role:

Leave of Absence Administration:

  • Ensure compliance with company policies, legal and regulatory requirements, and applicable leave laws, including updating and improving processes and forms
  • Manage the Leave of Absence (LOA) administration which includes Short Term Disability, Federal and State Medical Leave, unpaid LOA and other leave programs including leading the interactive process.
  • Manage own LOA claim files (30-50) for entire lifecycle while overseeing/providing guidance for leaves at various US locations (100+ at a time). Assist with the development of communications and trainings to facilitate process improvement with the HRBP's through a better understanding of the regulations and each other's role in the LOA process.
  • Identify gaps and inefficiencies in benefits administration (areas of review to include payroll, benefits, third party leave administrator, HR and legal) and provide recommendations to optimize workload efficiency and accuracy.
  • Manage shared Benefits inbox
  • Heavy report generation and auditing.

Health and Welfare Plan Administration:

  • Assist and help coordinate wellness activities at various sites/work locations - health fairs, flu shots, wellness communications, etc.
  • Annual Enrollment preparation assistance.
  • Other administrative duties as needed.

What you bring to the role:

  • Must be comfortable working in a fast-paced, constantly evolving environment and exhibit excellent multi-tasking skills. Must possess the ability to effectively coach managers and associates and be well skilled in both oral and written communication.
  • Bachelor's degree with 3 or more years of strong professional, progressive experience preferred.
  • Minimum of one to two of these years spent in a leave of absence administration role working in a multi-state corporate environment and specifically encompassing New York and/or California.
  • Experience working for organizations that utilize a third party leave and disability administrator.
  • Has worked for organizations with manufacturing or warehouse type associates and thus understands the complexities associated with these types of workers and environments.
  • Familiarity with port and conversion requirements/processes for life and disability plans.

Key experiences for the role:

  • Must be able to multitask, set and reset priorities and meet deadlines while providing excellent customer service to our associates.
  • Proficiency in Microsoft suite including PowerPoint presentations, pivot tables, formulas and v-lookup or the like. Experience with Access Databases a plus.
  • Experience with Workday and/or UKG preferred.
  • Ability to effectively communicate with management, associates, and vendors.
  • Possess excellent verbal and written communication skills and effective presentation skills.
  • Demonstrated impeccable attention to detail; analytical ability required.
  • Experienced with multi-state health and disability plans and regulations, including HIPAA, COBRA, FMLA, CFRA and PDL.
  • Ability to work with highly sensitive information and maintain strict confidentiality.
  • Continually strive for process improvement and efficiencies.
  • Proactive, go getter, takes initiative and ownership.

The typical base pay range for this role across the U.S. is USD $81,800.00 - $130,900.00 per year.

The ranges above reflect the potential annual base pay across the U.S. for all roles; the applicable base pay range will depend on the candidate's primary work location, pay grade, and variable compensation plan. Individual base pay within each range depends on various factors, in addition to primary work location, such as complexity and responsibility of role, job duties/requirements, and relevant experience and skills. Base pay ranges are reviewed and typically updated each year. Offers are made within the base pay range applicable at the time of hire. New hires starting base pay generally falls in the bottom half (between the minimum and midpoint) of a pay range.
