Business Office Manager (Administrative)



Position Overview

We are seeking a highly organized and experienced Business Office Manager to lead the financial and administrative operations of our skilled nursing facility. This role is essential to ensuring accurate billing, regulatory compliance, and effective team management, while delivering exceptional service to residents and their families.

Compensation Range: $30-$40/hour, based on Years of Experience

Essential Duties and Responsibilities

  • Manage business office systems in accordance with company procedures, including daily, weekly, and monthly tasks and non-negotiables.
  • Maintain accurate records for accounts receivable (A/R), accounts payable (A/P), admissions, census, insurance, financial files, bank deposits, petty cash, and resident trust accounts.
  • Perform routine billing processes, ensuring timely and accurate billing, identifying and resolving discrepancies.
  • Oversee collections of receivables, document efforts, and collaborate with the Administrator and regional support on difficult accounts.
  • Assist with resident admissions by verifying payer sources and completing admission forms.
  • Participate in billing and payment processes, including preparing bank deposits and undertaking collection activity for bad debts.
  • Manage petty cash and resident trust accounts in compliance with state regulations and company policy.
  • Complete month-end close within designated timeframes and participate in monthly A/R reviews.
  • Provide courteous and professional customer service to residents, families, vendors, and external representatives.
  • Communicate billing and financial obligations clearly to residents and responsible parties.
  • Maintain in-depth knowledge of billing practices including private insurance, HMOs, and co-insurance.
  • Attend leadership meetings such as stand-up, Triple Check, Utilization Review (UR), QAPI, and others as requested.
  • Supervise and train business office staff, including scheduling, assigning tasks, and implementing disciplinary measures when necessary.
  • Complete operational requirements by following up on work results and ensuring accountability.
  • Other duties as assigned.
Qualifications
  • Education: High school diploma or equivalent required.
  • Experience: Minimum one year in a long-term care facility preferred.
  • Skills:
    • Strong understanding of billing and payment systems in a skilled nursing setting.
    • Proficiency in Microsoft Office and general computer skills.
    • Ability to read and comprehend technical procedures and policy manuals.
    • Strong mathematical reasoning (fractions, percentages, ratios).
    • Effective problem-solving and interpretation of written and oral instructions.
    • Knowledge of PointClickCare (PCC) preferred.
Supervisory Requirements
  • Assist with the overall supervision and management of business office staff.
  • Ensure timely completion of tasks and adherence to facility policies.
Physical Demands
  • Prolonged computer use; frequent standing, walking, reaching, pushing/pulling.
  • Occasional sitting, climbing, stooping, kneeling, and lifting up to 50 pounds.
  • Frequent talking, hearing, tasting, and smelling.
  • Visual acuity including close, distance, color, peripheral, and depth perception.
Work Environment
  • Low to moderate noise level.
