Principal Tasks

The Marketing Programs Coordinator Americas is responsible for coordinating and supporting the organization of trade shows, conferences, and self-created customer events in North and Latin America. This position requires the ability to independently manage projects.

Responsibilities will include but are not limited to:

  • Organize and coordinate events and trade shows taking place in North and Latin America
  • Coordinate the shipping and receiving of event booth(s), display units, collateral, and promotional items in highly time-sensitive and deadline-driven situations
  • Assist in event logistics such as sending email communications, booking registration for attendees, and maintaining event info sheets and event-specific files on the shared server site
  • Onsite support, as needed
  • Correspondence with the external exhibit house to organize event orders
  • Provide support in planning self-created events, including website design, registration, communications, post-event surveys, etc.
  • Organize and attend certain event planning calls and take notes to distribute to the core planning team
  • Assist in researching the yearly calendar of events and updating event-specific details on the shared server site
  • Maintain event-related expenses while being budget-conscious and submit invoices for payment in a timely manner
  • Occasional research and presentation on assigned topics from management

Supplementary Tasks

  • Support the global marketing team, Americas sales team and Business Development team in marketing-related requests
  • Create and update event-related SOPs as needed
  • Other duties as assigned

Skills/Qualifications/Training/Experience

  • Undergraduate degree in business-related field
  • Basic knowledge of B2B marketing and marketing communication
  • Good project management skills
  • Excellent communication and interpersonal skills
  • Strong written and spoken English language, German or other additional language(s) a plus
  • Ability to work independently and as part of a team
  • Highly organized and able to multitask under time constraints
  • Advanced knowledge of MS Office
  • Ability to learn other software programs
  • Sensitivity to work in a multi-cultural environment

Requirements & Work Environment

  • Travel may be required
  • Lifting and carrying objects up to 25 lbs.
  • Working long or irregular hours
